ENAR is recruiting a Junior Secretary

The European Network Against Racism (ENAR aisbl) is the only pan-European anti-racism network that combines advocacy for racial equality and facilitating cooperation among civil society anti-racism actors in Europe. Our mission is to achieve full equality, solidarity and well-being for all in Europe. We want to allow all members of society, whatever their skin colour, ethnicity, sex, gender, religion, disability, age or sexual orientation, to participate and be included in society. We specifically work to combat racism and discrimination based on colour, ethnicity, national origin, nationality, religion, culture, language or legal status. Our staff is based in our Secretariat in Brussels and our member organisations work in all EU countries.

Job profile

The Junior Secretary will be based in Brussels. This is a full-time position. The starting gross salary is € 2,000 per month, indexed, plus benefits.

The Junior Secretary looks after the general logistical running of the office under the supervision of the Administrator. S/he supports the Administrator in all her/his tasks. S/he reports directly to the Administrator.

His/her tasks are:

-  Reception of members, guests, visitors, service suppliers, etc
-  Managing the switchboard and answering incoming calls
-  Handling of incoming and outgoing post and invoices

Secretarial – Administrative
-  Handling and updating the office agenda
-  Updating databases as requested
-  Facilitating the financial reporting to all funders, in cooperation with the Administrator
-  Preparing all needed documents and IT solutions for new interns and staff members
-  Dealing with problems with respect to IT and other logistic matters
-  Booking travel tickets and accommodation
-  Drafting travel information sheets, short letters or email messages on request
-  Supporting the Networking Officer and the Administrator with the registration of new members and membership fees
-  Making office purchases and ensuring availability of office supplies
-  Supporting minutes-taking

Organisation of events
-  Supporting the Administrator in organising all logistics
-  Sending, when appropriate, invitations & following up on registration of participants
-  Preparing participants folders, badges, table cards
-  Following up after the meeting with the evaluation and expense claim forms
-  Assessing the logistical aspects of meetings with colleagues

The Junior Secretary supports the Administrator and the team when requested. S/He does any task related to the job as deemed necessary and appropriate.

Person requirements

We are looking for a candidate who is:

-  fluent in English and French
-  open-minded, resourceful and patient
-  diplomatic and with an understanding of dealing with sensitive and confidential issues
-  able to respect deadlines and work under pressure
-  able to work both in a team and independently
-  administration and computer skills (Word, Excel, Office technology, Facebook and Access)

S/He has at least a high school diploma, office administration or adult education course, or equivalent office administration experience of at least 2 years. S/he must be able to work in an international multicultural environment and is committed to fighting racism and discrimination. The ability to communicate in Dutch is an asset.
